What to Put in an Employee Welcome Kit (That New Joiners Won't Throw Away)
The first day sets the story an employee will tell about your company. A thoughtful welcome kit says “we were expecting you” — and it's one of the few gifts that is seen, used and photographed.
The core four
- A diary or notebook — for first-week notes. An elastic band notebook or a clasp diary works well.
- An engraved pen — with the new joiner's name, not just the logo.
- A steel bottle — the most-used item in any kit. See our bottles and sippers.
- A small leather piece — a keychain or card holder for the ID and access card.
Make it personal
Names matter more than logos here. Engrave the joiner's name on the pen or bottle and include a short note from their manager. It costs little and changes how the whole kit feels.
Brand with restraint
New employees already know whom they work for. A small, elegant logo — debossed on the diary, laser-engraved on the bottle — looks premium. Large prints look promotional.
Scaling for continuous hiring
- Agree a standard kit and keep 20–30 un-named units ready.
- Personalise names in small batches each month.
- Use a consistent box so the unboxing feels designed.
Optional upgrades
- Card holder — useful for client-facing roles. See card holders.
- Desk organiser — for senior hires; a name plate on the first day is a memorable welcome.
- Travel set — for roles that travel from week one.
The welcome note
The note is the most important item in the kit and costs the least. Have the manager write two lines: what the joiner will work on first and who to go to for help. Printed on a card in the box, it turns a set of objects into a welcome.
Remote and multi-city hires
For employees joining in other cities, ship the kit to their home a few days before the start date. It sets a strong tone — the first thing they hold from the company is a thoughtful gift, not a laptop bag full of forms.
Measuring whether it works
Watch for kits appearing in team photos, LinkedIn posts and desk shots. If new joiners post their kit, it's doing its job — both for engagement and employer brand.
Our ready-made Onboarding Kit combines a croco clasp diary, navy gold-trim pen, loop-lid bottle and leather keychain, and every piece can be swapped. Ask for a kit proof.
